For airline group files—corporate offsites, destination weddings, school batches, pilgrimage groups, sports teams and MICE movements—finance is a sequence: written quote, deposit to hold inventory where airline policy allows, name roster by cut-off, balance before ticketing, then invoices that your accounts team can file without chasing amendments.
Organisers often collect money from guests or cost centres while the airline clock is already running. AirRJ’s Group Desk therefore puts deposit percentages, fare validity, name deadlines and balance due dates in the written quote—not in informal WhatsApp estimates. A deposit may be required to hold that inventory; names may be locked later; balance must clear before tickets are issued; and deposit money is frequently non-refundable once the hold is in place. Wedding planners and HR teams who treat a group file like a single shopping-cart checkout often miss name cut-offs or under-collect from guests. The safe approach is to treat the written AirRJ quote as a mini contract: fare validity, deposit amount, what the deposit buys, name deadline, balance due date, baggage notes and change/cancellation pointers.
Collect passenger commitments against written dates. Decide who is the legal payer for GST before the first transfer. Keep one folder with quote PDF, payment receipts (UTR / RRN), name list versions and final tickets. If a guest drops out after deposit, do not assume a full refund—check the quote and group booking terms before promising money back.
Tip: Retail vs group is also a communication issue. Tell finance and guests clearly whether they are paying a retail e-ticket or contributing to a group file deposit/balance—so nobody expects instant individual tickets after a partial payment.
Almost every airline group conversation eventually lands on two money moments: the deposit and the balance. Exact percentages are not universal. Some files ask for a larger early hold in peak wedding or festival seasons; others allow a lighter deposit with a tighter name and ticketing window. Paying the deposit early helps where policy allows a hold; delaying it while you “wait for more guests to confirm” can mean the quoted inventory disappears. Balance payment is equally critical—tickets are not issued on goodwill. If balance clears after the airline cut-off, held seats and fare can be lost even though a deposit was paid earlier.
Between deposit and balance you will usually also manage name collection, ID fields for international travel, and any agreed schedule changes. Also tell the desk whether the invoice should be in the company’s name, a travel management company, a wedding planner entity, or (where structured that way) individual passengers. Regular corporate travellers and institutions often prefer invoices and bank-transfer milestones over ad-hoc personal card payments. AirRJ can support corporate invoicing for approved accounts after verification—legal entity details, GSTIN where applicable, authorised signatories and preferred settlement method. “Approved” means written confirmation from the Group Desk, not an automatic credit line because someone emailed a company domain.
Typical corporate patterns include: deposit on acceptance of quote; balance before ticketing against a proforma or milestone invoice; GST tax invoice after payment stages as agreed; and a single accounts contact who receives PDFs. Bulk or multi-sector movements (multiple city pairs, staggered departures) may need separate files or one master file—your coordinator will recommend what matches airline rules and your PO process. Credit or deferred payment terms, where offered at all, are negotiated case by case and still sit under airline ticketing deadlines. A purchase-order delay on your side does not automatically extend the carrier’s name or balance cut-off.
Organisers often ask for “EMI” or monthly instalments so guests can pay over time. AirRJ can, where agreed in writing, structure deposit plus staged balance collections that help a school, NGO or wedding party manage cash flow. That is not the same as unlimited consumer EMI marketing, and it does not override airline deadlines. If the carrier requires full balance by a fixed date for ticketing, every internal instalment plan must finish on or before that date—or the file is at risk.
Card EMI or bank EMI offers may appear only when the payment gateway and issuing bank enable them for a given transaction; availability is not guaranteed on every group deposit. Do not promise guests “easy EMI on AirRJ” until the desk confirms what is actually available for that amount and method. Written schedules should list each due date, amount, who pays (central organiser vs members), and what happens if a stage is missed. Missing a stage can mean cancelled inventory, fare change or loss of deposit—depending on the airline file and written terms—not a polite reminder with unlimited grace.
Best practice for organisers: collect guest contributions into a controlled process before airline cut-offs, keep a buffer for drop-outs, and never spend deposit money assuming later refunds will refill it. Group deposits and balances are large enough to attract fraud attempts: fake “payment links,” personal UPI IDs claiming faster confirmation, or messages asking for OTP “to release tickets.” AirRJ routes card and UPI payments through encrypted gateways and does not store full card numbers on its servers. We never ask for CVV, OTP or net-banking passwords over phone, WhatsApp or email. OTPs belong only on your bank’s authentication screen during checkout.
Always verify the browser address before paying. If anyone claiming to be AirRJ asks you to pay a personal account or share OTP, stop and call +91 78388 48340 before transferring. A failed payment usually means the bank or gateway declined authorisation—insufficient funds, limit exceeded, 3-D Secure timeout, or a temporary bank outage. If money left your account but AirRJ did not confirm the milestone, share UTR/RRN, amount, date-time, last four digits of the card (if used) and the booking/group reference. Most failed holds reverse automatically; timelines vary by bank (often a few working days). Avoid blind multi-retries with different cards until you know whether a hold exists.
Refunds after a confirmed booking or after a group deposit follows airline fare rules and AirRJ’s written booking/group terms—not a blanket full-refund promise on this page. Deposit amounts on group files are frequently non-refundable once inventory is held. Partial passenger drop-outs may have different treatment from full-file cancellation; always read the quote before collecting guest money with refund promises. Chargebacks should be a last resort after contacting AirRJ—raising a dispute without context can delay both investigation and any eligible refund.
