Sending a delegation to a conference or trade fair abroad

Business visas, invitation letters, show-week pricing and carrying samples — what exhibitors and delegations should plan for.

By the AirRJ Group Desk · Updated 4 Nov 2026

Trade fairs in Dubai, Germany, China and Singapore attract large Indian delegations. Flights and hotels near the venue get expensive the moment show dates are announced, so speed matters.

Book when dates are announced

Fares and hotel prices rise steadily as the show approaches. Request a group quote as soon as the delegation size is roughly known.

Business visas

Most destinations need a business visa for exhibitors. The organiser's invitation letter, your company's cover letter and proof of the stall booking are commonly asked for. Start early — some consulates take weeks.

Samples and displays

Product samples and display material in checked baggage may need to be declared at customs, and large shipments should go by cargo. Ask us to add extra baggage on the group booking before you fly.

Staggered travel

Stall set-up teams often travel two days before the rest of the delegation. They can be a separate small group or individual tickets.

Quick answers

Can part of the delegation return earlier?

Yes. Travellers on different dates can be split into separate group blocks or booked individually.

Airline group rules differ by carrier, route and season, and they change. Treat this guide as a planning aid — the fare rules written on your AirRJ quote are what apply to your booking.

Travelling with 10 or more people?

Send us the route, rough dates and head-count. A Group Desk executive will come back with airline options, the fare validity and the date by which names are needed — usually the same working day.
