Passports and visas for an international group: a checklist

Passport validity, name matching, visa timing and a plan for the one person whose visa is late.

By the AirRJ Group Desk · Updated 4 Nov 2026

On international groups, documents cause more problems than flights. Run through this list before you pay the balance.

Passports

  • Many countries require passports to be valid for at least six months beyond the travel date.
  • Check there are blank pages for visas and stamps.
  • The name on the ticket must match the passport exactly.

Visas

  • Check visa rules for each nationality in the group — not everyone may hold an Indian passport.
  • Apply early; group applications take longer to assemble.
  • Do not pay the airline balance until you are reasonably confident visas will come through, unless the fare rules allow cancellation.

If someone's visa is refused

Tell us immediately. Depending on the stage of the booking, the seat may be released or the ticket cancelled under the fare rules. Some airlines are more flexible when proof of the visa refusal is provided.

Transit

Some connections require a transit visa even if you do not leave the airport. Check the rules for every country on the route, not just the destination.

Quick answers

How long must my passport be valid?

Many countries require at least six months' validity from the date of entry. Check the rule for your destination.

Airline group rules differ by carrier, route and season, and they change. Treat this guide as a planning aid — the fare rules written on your AirRJ quote are what apply to your booking.

Travelling with 10 or more people?

Send us the route, rough dates and head-count. A Group Desk executive will come back with airline options, the fare validity and the date by which names are needed — usually the same working day.
