Web check-in for a group: doing it once, for everyone

When web check-in opens, how to do it for 20 people at once, and who still needs the airport counter.

By the AirRJ Group Desk · Updated 4 Nov 2026

Web check-in saves a group a lot of queueing. Airlines typically open it 24 to 48 hours before departure for domestic flights.

Do it together

The coordinator can usually check in everyone on the same booking reference in one go on the airline's website or app. Do it as soon as it opens so seats are allocated close together.

Share boarding passes

Send each passenger their own boarding pass on their phone, and keep a combined PDF as backup.

Who still needs the counter

  • Anyone checking in baggage (a bag-drop desk, usually quicker).
  • Passengers needing wheelchair assistance or travelling with infants, on some airlines.
  • International passengers, for document checks.

Quick answers

Can one person check in the whole group?

Usually yes, using the booking reference. Large groups may be split into several references.

Airline group rules differ by carrier, route and season, and they change. Treat this guide as a planning aid — the fare rules written on your AirRJ quote are what apply to your booking.

Travelling with 10 or more people?

Send us the route, rough dates and head-count. A Group Desk executive will come back with airline options, the fare validity and the date by which names are needed — usually the same working day.
